2. What cookies are

Cookies are small files stored on your device. Similar technologies include local storage, session storage, pixels, tags, software development kits (SDKs), and device identifiers. In this policy we refer to all of these as “cookies”.

3. How we use cookies

We use cookies and similar technologies to:

• operate the website and the logged-in service;
• keep users signed in securely;
• remember language, privacy, and cookie preferences;
• protect against fraud, abuse, and unauthorised access;
• process payments and subscriptions;
• understand aggregated website usage where analytics are enabled;
• improve performance, reliability, and user experience.

4. Strictly necessary cookies

Strictly necessary cookies are required for the website or service to work. They may be set without consent where permitted by law. The main categories we use are:

• Authentication session — keeps logged-in users authenticated (duration: session or a limited signed-in period).
• CSRF / security token — protects forms and requests from abuse (duration: session or a limited period).
• Cookie consent record — stores your cookie preferences (duration: up to 12 months).
• Language preference — remembers your selected language (duration: up to 12 months).
• Payment security cookies — support secure payment processing (duration: controlled by the payment provider).

5. Analytics cookies

Analytics cookies help us understand how visitors use the website and which pages or features need improvement.

We use Google Analytics 4, provided by Google Ireland Limited (Gordon House, Barrow Street, Dublin 4, Ireland), on our public website pages only — for example the start, features, pricing, and legal pages. Google Analytics is loaded only after you consent to analytics cookies — by choosing “Accept all” in the cookie banner or by enabling the analytics category in the cookie settings in section 8 below. Without that consent, no analytics cookies are set and no data is sent to Google. Analytics is never active inside the logged-in clinical workspace and never receives patient data, case content, or account details.

When you consent, Google Analytics sets the following cookies:

• _ga — distinguishes returning visitors using a random identifier (duration: up to 24 months).
• _ga_* — maintains session state for our measurement property (duration: up to 24 months).

Google Analytics processes usage information such as pages visited, referring pages, approximate region, browser, and device type; IP addresses are not stored by Google Analytics 4. Google may process this data on servers outside the EU/EEA, including in the United States; transfers rely on the EU–US Data Privacy Framework and EU standard contractual clauses. The legal basis is your consent (Art. 6(1)(a) GDPR and the applicable ePrivacy rules). You can withdraw consent at any time with effect for the future via the cookie settings in section 8 below.

6. Marketing cookies

Marketing cookies are used for advertising, retargeting, campaign measurement, or profiling.

Under the marketing consent category we use two advertising-measurement tools on our public website pages only — for example the start, features, pricing, legal, and post-signup /welcome pages. Both load only after you consent to marketing cookies — by choosing “Accept all” in the cookie banner or by enabling the marketing category in the cookie settings in section 8 below. Without that consent, no marketing cookies are set and no advertising-measurement data is sent. Neither tool is ever active inside the logged-in clinical workspace, and neither receives patient data, case content, or account details; we do not pass names, e-mail addresses, or phone numbers to Meta or to Google Ads.

Meta Pixel (Meta Platforms Ireland Limited, Merrion Road, Dublin 4, D04 X2K5, Ireland) measures the effectiveness of our advertising on Meta platforms such as Facebook and Instagram, for example whether a visit or a completed sign-up followed one of our ads.

When you consent, the Meta Pixel sets the following cookies:

• _fbp — distinguishes visitors for advertising measurement using a random identifier (duration: up to 3 months).
• _fbc — stores the reference of the last Meta ad you clicked before visiting, where present (duration: up to 3 months).

The Meta Pixel processes usage information such as the pages you visit on our public site, approximate region, browser and device information, and your IP address at the time of the request. If you have a Meta account and are logged in, Meta can link this information to your account. For the collection and transmission of this event data we and Meta are joint controllers (Art. 26 GDPR); for the subsequent processing, Meta is an independent controller — details are described in Meta’s privacy policy. Meta may process this data on servers outside the EU/EEA, including in the United States; transfers rely on the EU–US Data Privacy Framework and EU standard contractual clauses.

Google Ads conversion measurement (Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland) counts completed sign-ups when a visitor reaches the /welcome confirmation page after registering, so we can measure whether Google Ads campaigns led to an account. It uses the same Google tag infrastructure as Google Analytics on our public pages, but advertising storage is enabled only with marketing consent.

When you consent to marketing cookies, Google Ads conversion measurement may set the following cookies:

• _gcl_au — stores a conversion linker identifier so ad clicks can be attributed to a later conversion (duration: up to 3 months).
• _gcl_aw / _gcl_dc — store Google click identifiers from ads where present (duration: up to 3 months).

Google may process conversion and click-attribution data on servers outside the EU/EEA, including in the United States; transfers rely on the EU–US Data Privacy Framework and EU standard contractual clauses. The legal basis for both Meta Pixel and Google Ads conversion measurement is your consent (Art. 6(1)(a) GDPR and the applicable ePrivacy rules). You can withdraw consent at any time with effect for the future via the cookie settings in section 8 below.

7. Third-party cookies

Third-party providers may set cookies when you use payment, authentication, security, or related features. These providers may include:

• Stripe, for payment processing;
• Google Ireland Limited, for website analytics on our public pages (Google Analytics — only with your consent, see section 5) and for Google Ads conversion measurement on our public pages (only with marketing consent, see section 6);
• Meta Platforms Ireland Limited, for advertising measurement on our public pages (Meta Pixel — only with your consent, see section 6);
• Google services, where Google Workspace, Google Cloud, or related services are used;
• other providers listed on our Sub-processors page.

8. Managing cookie preferences
